OFFICE ASSISTANT AT ROBIN GLENN PEDIGREES

Robin Glenn Pedigrees, a subsidiary of AQHA, is currently seeking qualified candidates to fill the Office Assistant position. The Robin Glenn Pedigrees office is located in El Reno, OK. For more information concerning Robin Glenn Pedigrees, visit www.robinglenn.com.

POSITION SUMMARY

Perform routine clerical and administrative functions such as drafting correspondence, organizing and maintaining paper and electronic files, providing information to callers, and assisting coworkers as needed for Robin Glenn Pedigrees, LLC.

JOB DUTIES:

  • Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
  • Schedule and confirm appointments for clients, customers, or supervisors.
  • Locate and attach appropriate files to incoming correspondence requiring replies.
  • Operate electronic mail systems and coordinate the flow of information, internally or with other organizations.
  • Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports.
  • Stay abreast of all changes made to rules, procedures, personnel, phone responsibilities and proper customer service and telephone techniques.
  • Track and update Results Report and Foal Tracker subscriber lists.
  • Verify, fact-check and proofread sale catalog pages.
  • Coordinate with RGP employees to maintain catalog schedule for deadlines.
  • Process sale catalog entries.
  • Determine the need for, and order the proper records for each sale horse.
  • Coordinate with various associations to obtain additional information.
  • Receive, record and properly manage catalog page updates and corrections.
  • Assist with the final processing of catalogs.
  • Search and collect sale results data from sales nationwide.
  • Test computer programs and work with the programmers.
  • Other duties as assigned.

QUALIFICATIONS:

  • Proficiency in office administrative skills; including, but not limited to typing, computer and Microsoft Word and Excel.
  • Ability to maintain attention to detail even under tight deadlines.
  • Recognition of the importance of organization and time management.
  • Confidence in critical thinking skills.
  • Ability to think, react, and adapt effectively in a dead-line driven work environment.
  • Available for overtime as needed.

JOURNAL ACCOUNT EXECUTIVE

AQHA is currently seeking qualified candidates to fill the Journal Account Executive position with the American Quarter Horse Association. The candidate will work out of the International headquarters located in Amarillo, Texas.

POSITION SUMMARY

Works directly with AQHA media advertisers within a region in preparing their merchandising programs, composing and scheduling of advertising and setting up complete advertising programs.

JOB DUTIES:

  • Serve as a public relations liaison for AQHA media items with advertisers and industry figures on farms and selected major shows, sales and events.

  • Assist with formulating general advertising plans.

  • Maintain assigned account bases while developing new accounts.

  • Explain to customers how specific types of advertising will help promote their products or services in the most effective way possible.

  • Provide clients with estimates of the costs of advertising products or services.

  • Locate and contact potential clients to offer advertising services.

  • Process all correspondence and paperwork related to accounts.

  • Assist in collecting payments on accounts once they become 60 days past due.

  • Assists advertisers in composing advertisements and setting up advertising programs.

     

QUALIFICATIONS:

  • Knowledge of principles and methods for showing, promoting, and selling products or services.  This includes marketing strategy and tactics, product demonstrations, sales techniques, and sales control systems.

  • Knowledge of principles and processes for providing customer and personal services.  This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction..

  • Advertising sales experience preferred.

MANAGER OF INFORMATION TECHNOLOGY PROJECTS

AQHA is currently seeking qualified candidates to fill the Manager of Information Technology Projects position with the American Quarter Horse Association. The candidate will work out of the International headquarters located in Amarillo, Texas.

POSITION SUMMARY

The Manager of Information Technology Projects is responsible for planning, executing, and finalizing projects according to AQHA’s needs and budget. The position will be responsible for acquiring resources and coordinating the efforts of the team to deliver projects according to plan.  He or she will also define the project’s objectives and oversee quality control throughout its life cycle.  The Project Manager helps translate business requirements into technology requirements for inclusion in contracts and/or statements of work (SOW).

JOB DUTIES:

  • Create, maintain, and execute project plans to meet changing needs and requirements.

  • Effectively applies our methodology and enforces project standards.

  • Prepares for engagement reviews and quality assurance procedures.

  • Minimizes our exposure and risk on project.

  • Ensures project documents are complete and current.

  • Tracks and reports team hours and expenses on a weekly basis.

  • Maintains awareness of new and emerging technologies and the potential application on client engagements.

  • Sets and manages client expectations.

  • Continually seeks opportunities to increase customer satisfaction and deepen client relationships.

  • Builds a knowledge base of AQHA’s business, organization and objectives.

QUALIFICATIONS:

  • The ideal candidate will have a minimum of a four-year degree (MIS or Technical degree preferred).

  • Have demonstrated corporate project management experience.

  • PMP certification is preferred.

  • Candidates must have excellent organization, communication, Project Management, negotiation and problem solving skills, and a proven understanding of corporate business needs.

  • The role requires both deep project management experience and broad technology knowledge with the ability to facilitate the architecting of solutions by mapping common customer business problems to reusable end-to-end technology solutions.

  • Have demonstrated the ability to engage in senior level business and technology decision maker discussions related to agility, business value, and end to end technology projects.

  • Experience using Agile methodology, and an understanding of software development and quality assurance methodologies.

SENIOR DIRECTOR OF BUSINESS DEVELOPMENT

AQHA is currently seeking qualified candidates to fill the Senior Director of Business Development position with the American Quarter Horse Association. The candidate will work out of the International headquarters located in Amarillo, Texas.

POSITION SUMMARY

Plan, direct, or coordinate marketing policies and programs, including but not limited to the development, sales and implementation/fulfillment of corporate partnerships.  Establish and maintain working relationships with AQHA Corporate Partners.  Assist in providing strategic and execution guidance to sales manager for publications and marketing managers responsible for digital media assets.  Develop pricing and sales strategies with the goal of maximizing AQHA profits or share of the market while ensuring the AQHA's customers are satisfied.

JOB DUTIES:

  • Monitor and evolve AQHA's leading market position by continuously examining, locating, developing, defining, negotiating and closing income-generating business relationships.

  • Guide advertising programs and packages for AQHA's publications, including electronic versions.

  • Oversee and provide guidance for the development and management of communications and promotions to support AQHA Corporate Partner Programs.

  • Develop open, ongoing communications and interactions with Corporate Partners and Publications team as well as AQHA leadership team and related committees, such as executive committee, taskforces, etc., inspiring a spirit of transparency and an environment of harmony as well as creating a team environment that leverages outward reach to tap into subject matter expertise.

  • Provide team environment where the staff of Corporate Partners, Marketing and Publications interact and assist each other in delivering member value, both ethically and fiscally.

  • Inspire team collaboration to deliver the best Sponsorship and Publications programs and procedures in the Industry.

  • Assist in developing programs, organizational and financial plans with the Corporate Partners and, Marketing and Publications team.

  • Knowledge of business and management principles involved in strategic planning, resource allocation, leadership technique, production methods, and coordination of people and resources.

  • Management and Supervisory experience.

 

EXPERIENCE AND EDUCATION:

  • Bachelor Degree in Marketing, Communications, Business, Animal Science or equivalent experience .
